What information we collect

This website is for trade customers. Most of the information we hold is about your business, but some of it is about the people who work there. We collect:

  • Account details, such as your name, job title, business name, email address, phone number and delivery and invoice addresses.
  • Login details for your account.
  • Order details, such as what you have ordered, when, and delivery information.
  • Messages you send us, such as emails or enquiries through the website.
  • Information about how you use the website, such as pages visited, clicks, scrolling and the device and browser you use. Some of this is collected using cookies (see below).

If you pay by card on the website, your payment is processed securely by our payment provider, Stripe. We do not see or store your full card number.

How we use your information

We use your information to:

  • set up and manage your trade account
  • process and deliver your orders, take payment and send invoices
  • contact you about your orders or account
  • keep the website secure and working properly
  • understand how customers use the website so we can fix problems and make it easier to use
  • meet our legal and accounting obligations

Our legal reasons for using it

Under UK data protection law we must have a legal reason to use personal information. We rely on:

  • Contract: to manage your account and fulfil your orders.
  • Legal obligation: to keep financial and tax records.
  • Legitimate interests: to run our business, keep in touch with our trade customers and keep the website secure.
  • Consent: for analytics and session recording cookies. You can withdraw your consent at any time.

Cookies and session recording

Cookies are small files stored on your device when you visit a website.

We use essential cookies to keep you logged in and to make the ordering process work. These are needed for the website to function, so they cannot be switched off.

With your consent, we also use Mouseflow, an analytics tool. Mouseflow records how visitors move around the website, including mouse movements, clicks, scrolling and the pages visited. We use this to spot problems customers have with the website and to improve it. Mouseflow is set not to record anything you type on the website.

Mouseflow will only run if you accept cookies in the banner shown when you first visit. You can withdraw your consent at any time by clearing cookies in your browser.

Who we share it with

We do not sell your information. We share it only with companies that help us run the website and our business, including:

  • TAIG Solutions Ltd, who build and host the website
  • Stripe, who process card payments
  • Microsoft, who provide our order and accounting system (Business Central)
  • Mouseflow, who provide our website analytics
  • delivery companies (Royal Mail, UPS and Bibby Logistics), so they can deliver your orders
  • our professional advisers, such as accountants and auditors

We may also share information if the law requires us to, for example with HMRC.

These companies can only use your information to provide their service to us, and must keep it secure.

Information stored outside the UK

Some of our suppliers may store information outside the UK, including in the European Economic Area and the United States. Where this happens, we make sure the right protections are in place, such as UK adequacy regulations or standard contract terms approved by the ICO.

How long we keep it

  • Account details: for as long as your account is open, and up to 2 years after it closes.
  • Order and invoice records: 6 years from the end of the financial year they relate to, to meet tax rules.
  • Mouseflow recordings: 12 months.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that is wrong
  • ask us to delete your information, where we no longer need it
  • object to us using your information, or ask us to limit how we use it
  • withdraw your consent to cookies at any time
  • ask us to send your information to another organisation, in some cases

To use any of these rights, write to us at the address above. We will reply within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right.

You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
